Privacy Policy
PestLook is operated by Umbrella Solutions LLC, PO Box 587, Bound Brook, NJ 08805, USA ("we", "us", "our"). This policy explains what personal and operational data we collect, why we collect it, how we use it, and what rights you have over it.
By creating an account or using the PestLook platform (web or mobile), you agree to the collection and use of information as described in this policy.
1. What data we collect
- Account data: your name, email address, organisation name, and password (stored as a salted hash).
- Farm and field data: farm names, GPS boundary coordinates, field descriptions, crop types, and seasons you enter into the platform.
- Operational data: pest observations, trap counts, scouting session records, photo attachments, GPS coordinates of observations, and weather conditions recorded during sessions.
- Usage data: pages visited, features used, and error logs for the purpose of improving the platform. This data does not identify individual observations or farm locations.
- Device data: when using the mobile app, we may record your device type and operating system version for diagnostic purposes.
2. How we use your data
- To provide, operate, and improve the PestLook platform.
- To send transactional emails (account activation, password reset, threshold alerts you have enabled).
- To generate the analytics, intelligence reports, and forecasts that are the core product.
- To diagnose bugs and technical issues.
- To comply with legal obligations.
We do not sell your data. We do not use your farm or observation data for advertising. We do not share your data with third parties except as described in section 4.
3. Tenant isolation
PestLook is a multi-tenant platform. Each organisation's data is fully isolated — no other organisation can access your farms, fields, observations, photos, or reports. Within your organisation, access is controlled by the roles you assign: scouts can only see what they are assigned to; admins have full access to their own organisation's data.
4. Data sharing
We share data only in the following limited circumstances:
- Service providers: cloud hosting and storage providers who process data on our behalf under data processing agreements. These providers are contractually prohibited from using your data for any purpose other than providing services to us.
- Legal requirements: if required by applicable law, court order, or regulatory authority.
- Business transfer: in the event of a merger, acquisition, or sale of assets, users will be notified before data is transferred and becomes subject to a different privacy policy.
5. Data retention
We retain your account and operational data for as long as your account is active. If you delete your account, we will delete or anonymise your personal data within 30 days, except where retention is required for legal compliance. Backup copies may persist for up to 90 days in encrypted storage.
6. Security
We use industry-standard security measures including encrypted data transmission (HTTPS/TLS), encrypted storage at rest, and access controls. No method of transmission over the internet is 100% secure, however, and we cannot guarantee absolute security.
7. Your rights (POPIA & GDPR)
Depending on your location, you may have the following rights regarding your personal data:
- The right to access the personal data we hold about you.
- The right to correct inaccurate personal data.
- The right to request deletion of your personal data.
- The right to object to or restrict certain processing.
- The right to data portability (receive your data in a structured, machine-readable format).

8. Cookies
PestLook uses browser localStorage and sessionStorage to maintain your login session and cache operational data for offline use. We do not use third-party advertising cookies or tracking pixels.
9. Children's privacy
PestLook is not directed at children under the age of 13. We do not knowingly collect personal data from children. If you believe we have inadvertently collected such data, please contact us and we will delete it immediately.
10. Changes to this policy
We may update this policy from time to time. When we do, we will update the "Last updated" date at the top and notify registered users by email if the changes are material. Your continued use of the platform after changes are posted constitutes acceptance of the revised policy.
